Coordinate and maintain heavy calendars.
Arrange meetings and prepare agendas
Arrange travel and logistics for the VP and Managers. C
Expense control/reception for Managers (in direct contact with Finance team, monthly update of expenses cost (Entertainment with clients, with Subordinates, travel expenses, etc)
Vacations Controls (Managers will send the vacations request for monthly/year control) then info reported to HR Manager
Provide general administrative and clerical tasks such as answering phones, faxing, mailing, filing and photocopying. Coordinate conference calls, transcribe notes and type correspondence.
Establish systems (computer and filing) as needed to ensure appropriate record keeping and the ability to easily share and retrieve information for projects and events, e-mail contacts and computer files, partner organizations, etc.
Complete special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.
Create and modify PowerPoint presentations, Excel reports and charts as well as draft routine correspondence.
Provide backup for other support functions when needed
Performs other related functions as required or assigned by Supervisor
High School Diploma or equivalent.
Incumbent must have the abilities typically acquired through a College degree
including the ability to learn new techniques/systems, research, organize, perform
and complete projects and listen and communicate effectively
Related work experience including departmental administrative support required.
Experience in international travel arrangements
Possess superior verbal and communication skills, as well as superior customer
Handle confidential information and multitask.
