JOB SUMMARY

The Training Administrator role is role is accountable for the provision of a customer centric training administration service to our offshore employees, including liaising with both internal and external stakeholders, to ensure the training processes are effectively delivered against our service level agreement. As part of the Training Services team, the HR Administrator will also maintain training certificates in the HR Software system and ensure the delivery of an excellent service to all stakeholders.

 

JOB SPECIFIC RESPONSIBILITIES

 

1. Put the employee/customer first in our delivery of excellent service at all time.

2. Facilitate the delivery of training bookings, by carrying out complex and interacting team processes accurately and efficiently, and to agreed service level agreements including, but not exclusive to:

· Booking training courses

· Obtaining course calendars for future planning

· Arranging logistics via our travel partner

· Processing purchase Requests for each individual training course

· Goods receipting raised POs

· Processing cancellations and reschedules

· Uploading certification and required ID papers on the internal Learning Management System

  1. Respond professionally to all internal and external stakeholders, providing requested information to queries, and be the point of contact for all training related issues for the area assigned; following the escalation process as and when required.
  2. Liaison with internal accounts departments to ensure the delivery of all necessary documentation to facilitate the payment to vendors in a timely manner.
  3. Take ownership of delivering your part in individual and team objectives/SLAs & KPIs, maintaining a high standard of quality, protecting, and always enhancing the integrity of our company.
  4. Liaise with vendors to ensure the delivery of certification following completed courses and identifying any problems that may prevent this to ensure there is no drop in rig compliance as a result.
  5. Support the delivery of training plans compiled for onboard training, by liaising between the vendor and the rig and ensuring all trainings are accurately recorded on skillsvx against the related purchase order.
  6. Identify and where appropriate help to implement improvements to processes and services provided
  7. Actively participate and contribute to the People Services change journey and where required involvement in activities to ensure consistency across the function
  8. Maintain high standards of confidentiality and compliance, ensuring the maintenance of accurate employee and HR records, in line with Data Protection legislation, company directives and policies

KNOWLEDGE, SKILLS AND EXPERIENCE

Essential

· You understand of the importance of a great employee experience within an organisation

· You can work towards tight deadlines with high volumes and conflicting demands

· You have an eye for detail, a logical approach, and the drive to complete a task/project to a high-quality standard.

· You are self-motivated, well organised and can work with minimum supervision

· You are solution focused, with a proactive approach and ‘can do’ attitude

· You are confident in working with standard office software such as Microsoft Office and have strong skills in Excel and Word.

 

Desired

· Previous training administrative or coordination work experience

· Second language – Spanish, Portuguese, Arabic, or Norwegian an advantage

· Experience of working with HR Information Systems and Shared Services tools such as Case Management and telephony.

 

EDUCATION AND QUALIFICATIONS

Minimum Requirements

GCSE or equivalent in English and Maths

Preferred

Higher qualification in Administration or Business-related subjects.
